Remote Backup

A remote backup is a security copy of data that is not stored at the same location as the original, but is transferred over the internet to a remote location. This way, the data survives even if a fire, theft, or technical failure occurs at the original location.

A backup is a second version of your files that you keep in case the first one is lost. A remote backup is such a copy that is deliberately kept far away from the original. To do this, the files are transferred over the internet to computers at a different location. The word “remote” simply means “far away” in this context. The opposite would be a copy on a hard drive sitting next to the computer on the desk. That hard drive helps if the laptop breaks, but not if the apartment burns down.

Why distance is the real protection

Most data loss is mundane: a hard drive dies, someone accidentally deletes a folder. Any copy, wherever it’s kept, helps against that. What’s dangerous are the cases that affect the entire location. A burst pipe, a fire, or a break-in destroys the original and the copy at the same time if both are in the same room.

That’s why IT has a well-known rule of thumb, the 3-2-1 rule. It states: three copies of the data, on two different types of storage media, one of which is kept at a different location. The remote backup is exactly that one copy at a different location. Without it, the rule isn’t fulfilled.

For companies, there’s a second reason: ransomware. Such programs encrypt all reachable files and demand money for their release. In doing so, they often also infect connected backup drives. A copy that is kept separately and read-only elsewhere is often the only rescue without paying ransom.

From the first full backup to daily small changes

At the start, there is usually a complete copy of all data. This takes a long time, because even with a fast internet connection, several hundred gigabytes aren’t uploaded in minutes. After that, the software works incrementally. This means it only transfers what has changed since the last backup. A daily run is therefore often done in just a few minutes.

Before being sent, the data is usually encrypted, meaning turned into an unreadable form. With good providers, this already happens on your own device. This is called end-to-end encryption. In this case, the operator of the remote storage only sees a jumble of numbers and cannot read the contents themselves. The price for this: whoever loses their password also loses the backup, because no one can reset it.

A common misconception is confusing remote backup with a sync service. A sync service mirrors folders in real time. If you delete a file there, it disappears everywhere. A true backup keeps old versions for weeks and lets you go back to a specific date. This time travel is the crucial difference.

From phone photos to the data center

You encounter this principle every day without anyone using the term. When your phone uploads photos overnight via WiFi, that’s a remote backup. If the device is lost, the pictures are still there. Game saves, contacts, and chat histories are also secured this way.

In business, this has become a huge market. Providers sell storage space in data centers as a service, often under names like cloud backup or backup-as-a-service. Payment is usually per gigabyte per month. The topic regularly comes up in the news when a company is at a standstill for days after an attack. Almost always, the question then is whether there was a usable external backup.

One practical note in closing: a backup is only considered functional once you’ve actually tried to restore data from it. Many backups run seemingly fine for years and turn out to be useless in an emergency. Experts call this test a restore test and perform it regularly.
