
FTE
FTE stands for "Full-Time Equivalent." The metric converts all working hours of a company into a number of notional full-time positions, making workforces comparable.
Not everyone in a company works the same amount. Some hold a full-time position, others work just three days a week. The mere number of employees therefore says little about the actual work performed. FTE solves this problem. The abbreviation stands for “Full-Time Equivalent.” All working hours are added up and divided by the hours of one full position. Two people each working half-time thus add up to 1.0 FTE, not 2.
Why companies count their workforce in positions rather than headcount
A company may report 1,000 employees and still have only 700 FTE. This happens when many people work part-time. For investors, the second figure is more meaningful. It shows how much labor is actually available and roughly how high personnel costs are.
FTE also makes it possible to compare companies that are organized very differently. A retail group with many temporary workers and a software company with entirely full-time staff can hardly be compared meaningfully by headcount alone. A popular metric is revenue per FTE. It answers the question of how much money a notional full-time position generates per year.
FTE comes up especially often in connection with artificial intelligence. When a corporation claims that an AI system saves work equivalent to 300 FTE, it means the equivalent of 300 full-time positions. This does not automatically mean that 300 people will be laid off. Often it is many small time savings that mathematically add up to this figure.
The calculation behind the full-time equivalent
First, one defines what a full position means. In Germany, depending on the industry, this is roughly 38 to 40 hours per week. This figure is the denominator of the calculation. Then, for each person, their share of this full position is determined.
An example: In a small company, five people work. Three have full positions with 40 hours, which is 3.0 FTE. One person works 20 hours, which is 0.5 FTE. Another works 10 hours, so 0.25 FTE. Together this adds up to 3.75 FTE across five employees.
It is important to distinguish this from the so-called headcount, i.e., the plain number of people. Headcount counts people, FTE counts work volume. A common mistake is confusing the two figures. Anyone reading a report about job cuts should therefore look closely at which of the two figures is meant.
FTE in quarterly reports, staffing plans, and AI announcements
The metric appears most frequently in the annual reports of publicly listed companies. There it is usually found in the management report or in the notes on staffing. Banks and consulting firms also routinely calculate their efficiency per FTE. In government tenders, FTE indicates how much staff a project is allowed to tie up.
In tech news, FTE is often used as a unit of measure for automation. Statements like “the system replaces 50 FTE” sound precise, but are based on estimates. Anyone reading such figures should ask who calculated them and on what assumptions. Often they come from the software vendor itself.
The principle is also useful in everyday life. If a school says it has 60 teachers, that says little about actual instruction. Converted into full-time positions, perhaps only 48 remain. This is exactly the conversion that FTE performs, whether in the classroom or in the data center.
