An Excel plugin is an add-on program that is installed into the spreadsheet application Excel to extend it with new functions. In recent years, many such extensions have used AI, for example to suggest formulas or evaluate text within spreadsheets.

Excel is a program made by Microsoft in which you arrange numbers in tables and calculate with them. Out of the box it can do a great deal, but not everything. An Excel plugin is a small add-on program that gets installed afterwards. Once installed, Excel has functions it didn’t have before: a new button, an additional menu, or new calculation commands. You can think of it like a browser extension that blocks ads there. The base program stays the same; it just gains extra abilities. Microsoft itself officially calls such extensions “add-ins”, though in everyday speech many people still say plugin.

Why companies stick with Excel

Excel has been the central tool in banks, insurance companies, and accounting departments for decades. Estimates suggest well over 700 million users worldwide. Entire departments work in spreadsheets that have grown over the years. Introducing a new program that does everything better often fails because of this habit.

This is exactly where plugins come in. Instead of forcing people to switch to new software, you bring the new function to where they already are. For software companies, this is an important distribution channel. Anyone offering an AI application as an Excel plugin doesn’t need to teach anyone a new program.

For investors, this is one reason why Microsoft is so hard to attack with Excel. It’s not just the program itself that ties customers in, but also the many extensions built around it. Experts call this an ecosystem: a network of add-on products that makes switching to a competitor expensive.

What happens technically during installation

A plugin is its own file that you install or download from an online store. It gets loaded along when Excel starts. The plugin is then allowed to access the spreadsheet: it can read cells, write values into them, and display its own menus. Excel grants it these rights through defined interfaces, meaning precisely described docking points.

Modern plugins usually don’t compute anything themselves on the local machine. They send the selected data to a server on the internet and fetch the result back. In the case of AI plugins, a language model sits there — a program that has learned from vast amounts of text how to continue language. The user writes an instruction into a cell, such as “summarize this customer review in three words”. The plugin sends off the request and writes the answer into the neighboring cell.

This creates a problem that companies need to take seriously. The data leaves the user’s own computer. In the case of salary lists or customer data, this is legally sensitive. That’s why IT departments carefully review which plugins are even allowed to be installed.

Well-known extensions and where they show up

Classic examples are data connections from financial services. Bloomberg and Refinitiv have for years supplied plugins that feed prices directly into the spreadsheet. Other extensions help with solving optimization problems or creating charts. The Solver, which many people know from school, is also an add-in.

Newer are the AI extensions. With Copilot, Microsoft is building its own AI function directly into Excel. Alongside that, there are plugins from smaller providers that, for example, explain formulas in plain language. In business news, this often comes up in connection with startups that launch their software as an Excel extension.

A common misconception: a plugin does not make Excel faster or more stable. In fact, it adds code that can crash. Anyone who installs many extensions often ends up with a slower Excel. It therefore only makes sense to use what you actually need on a regular basis.
